DentalWriter Plus clients didn’t want to pay additionally for separate standalone appointments booking systems. They have been strongly requesting for the built-in scheduler feature.
My Role
Research, moqups, usability tests, html/css, vector graphics, project management.
After interviews and competitive analysis I have taken a Kendo UI component ‘Scheduler’ and adapted it to the existing design system, integrated with notification center, patient profile, dashboard, added separate options page for wide customization features.
Moqups for this feature were low-fidelity, discussed with developers and product owners, approved rapidly, ensuring that the team can move forward with implementation and keep release cycles short.

First of all I have conducted several interviews with the most loyal clients to uncover what dental practices expect and need from an appointment booking system, their current workflows and frustrations with scheduling, willingness to change the system they are utilizing at the moment.

After analyzing interviews results I have defined what useful features could be taken from other booking systems that dental practices are utilizing at the moment and unmet needs that represent valuable opportunities for DentalWriter Plus.
Main concerns about appointments booking system were disconnected patient data and appointment info, wider customization freedom (roles, colors, rooms), smart suggestions (reminders, hints), HIPAA compliance (keep patient information inside secured platform, audit logs).
I created two types of workflows: the first illustrates the appointment booking journey from the moment a patient contacts the clinic, the second details the exact steps a practice representative follows in DentalWriter Plus to book patient appointments, highlighting the three available entry points within the system: through the calendar, via the patient profile, through the Navigator (where scheduling an appointment is the first step of every visit flow).
Based on these workflows a number of improvement suggestions were worked out:
After analyzing interviews and open-source information I have indentified a number of services dentists are using for making online appointments. A competitive analysis was done to see what useful features other services can own to use in DentalWriter Plus.

While some of these systems allowed integration into dental software, the team decided that instead of relying on multiple third-party services—each with its own specialties and potential complications—the most optimal solution was to develop an in-house appointment book tailored specifically to our needs.
